Student Employee Housing Incentive Program
Summer of 2019
Rationale
Some departments rely heavily on students to perform key administrative or service functions and do so at a significant savings in payroll costs to the department/institution. The Summer Student Employee Housing Incentive program is offered to all departments to assist in this matter.
Incentive Criteria Accordion Closed
The Summer Student Employee Housing Incentive is available to any students who work in key roles as determined by the host department and commit to working a required number of hours per week, May 13, 2019 – August 25, 2019. The chart below shows the incentive for specific weekly hour commitments. The summer housing rates are available to any student employee. However, any subsidy is subject to the host department’s determination that the position qualifies f or an additional subsidy.

Employee Hour Calculation Accordion Closed
Hours will be monitored weekly. If the hours worked falls below the minimum required hours for the incentive selected, the housing waiver will drop to the next level that meets the minimum requirement (after the two allowed “dropped” weeks are considered). The difference in rent will be immediately charged in LOUIE.
- Compliance – Student worker hours must comply with the 29 hour average per year rule and other compliance requirements listed in the student employee handbook
- Blackout Dates – As each department has critical high volume periods, some positions are subject to “blackout dates,” as determined by the sponsoring department. Students in these positions must be available to work these blackout dates in order to be eligible for ANY Summer Housing Incentive. Supervisors will communicate the required work periods with their employees.
- Dropped Weeks – In order to provide an opportunity to see family, take a vacation or plan for unexpected absences, students are allowed to have their two lowest weeks of hours worked “dropped” meaning they will not be considered in determining the housing waiver level. The work week for this consideration is the same as the pay week, Monday – Sunday. These two weeks can apply to any time during the summer incentive with exception of blackout dates.
- Official University Holidays – Additionally, for calculating hours per week worked, students will be credited 8 hours for Memorial Day and Fourth of July in order to balance available work hours for weeks in which a holiday occurs. (Memorial Day and Fourth of July are not paid holidays for students; 8 hours for each of these days is being added only to the calculation so students are not penalized for holiday closures.)
Subsidy Reporting Accordion Closed
Housing and Residence Life will report housing subsidy requested by the department and student to Human Resources Payroll Department. This subsidy is subject to tax withholding in accordance with your payroll tax withholding selection. Departments will be billed for the housing subsidy using the speedchart number provided.
Housing Assignments Accordion Closed
- Summer Student Employees will be assigned by the central housing office staff to Raymond Hall.
Roommate requests will be considered if they are received by May 3, 2019 and space is available.
Summer Student Employees may log into the housing portal to review their housing assignment beginning May 8, 2019.
Department Supervisor Process Accordion Closed
- Communicate with student employee to determine and agree upon weekly hours expected, including critical high volume times, and level of departmental subsidy. The subsidy level is selected for the full summer. It cannot be increased at a later time.
- Submit an estimated employee count to HRLAdmin@nau.edu by May 3, 2019 so tentative reservations for rooms can occur.
- Student must complete summer housing application by May 3, 2019. Supervisor portion must be complete by May 6, 2019 and will require the employee’s ePAR number.
- The departmental subsidy will be billed to the individual departments the week of June 3.
- Supervisors must track weekly hours for each student employee ensuring compliance with the Summer Housing Incentive agreement. Notify HRLAdmin@nau.edu of any student falling below their committed hours by the Wednesday after each pay period.
- If a student’s hours drop during the summer causing a lower subsidy level, or the student leaves the position, notify HRLAdmin@nau.edu. The difference in rent (initial incentive to the applicable lower level incentive) will be charged to the student’s LOUIE account as per the guidelines above. The department will be refunded the difference at that time. In the event of non-compliance with blackout dates, rent will be charged to the student’s account retroactive to the first day of the summer employment period and the department will be refunded at that time.
Student Employee Process Accordion Closed
- With supervisor, determine and agree upon minimum weekly hours and departmental subsidy. Confirm availability for the required work periods determined by the department.
- Complete the Summer Housing Application by May 3, 2018. Check “NAU Student Employee Housing Incentive Participant” on the “Single Student Summer Housing” page. You will provide supervisor information on the page as well as indicate the agreed upon department subsidy.
- Please note: The summer housing subsidy provided by your department will be reported to NAU Payroll and is subject to tax withholding in accordance with your payroll tax withholding selection.
- A $25 application fee will be posted to your LOUIE account. Roommate requests may be submitted by calling 928-523-3978 by May 3, 2019 and will be considered based on space availability.
- Log back into your application through the housing portal to view your room assignment on May 8, 2019.
- Students currently residing on campus will be provided an extension to remain in their current assignment until May 12, 2019 when they will check into their summer assignment. On May 12 between 9am – 10am go directly to your assigned summer residence hall to begin the check in process and to obtain the key to your summer room assignment. If you are a spring resident on campus, once you have moved all of your belongings to your summer room and cleaned your current spring room, please complete the online express check-out in the housing portal and return your spring room key to the spring residence hall. You are required to complete the check-out of your spring room by noon on May 12.
- The student employee’s portion of rent will be charged to the student’s LOUIE account the week of May 13, with a due date of June 3.
- Check out of summer assignment on August 14, 2019. If you have a fall assignment in an NAU residence hall, you will move to your fall hall at that time. Additional communication will be sent to you in August.
