Undergraduate Student Travel Awards
The Office of Undergraduate Research and Creative Activity provides partial funding for NAU undergraduate students to attend, present, compete, or accept awards at regional, national, or international conferences.

NAU Required Travel Forms
NAU requires several forms to be completed before you travel:
- Every traveler needs to complete an Annual Travel Certification if you haven’t done one for the current fiscal year (July 2023 – June 2024).
- Anyone driving on NAU business needs to register as an Authorized Driver, even for a personal vehicle.
- Every traveler needs to fill out an Assumption of Risk form and email it back to the address on the very bottom of the form.
- You may need an Institutional Excuse for missing class during your trip.

Undergraduate eligibility:
- Eligible travel includes: attending a professional conference, presenting invited scholarly or creative work, accepting an award from a professional organization or academic institution, or attending academic competitions at the regional, national, or international level.
- The applicant is a current undergraduate in good academic standing (minimum GPA 2.0) at the time of application and at the time of travel; students who graduate prior to travel are not eligible.
- If attending (not presenting/accepting/competing): The applicant must be attending the conference with a faculty representative from the university.
NOTE: Students may receive only one travel award per academic year (July 1 – June 30).
Graduate student travel to conferences is supported through the Graduate Student Government travel awards program. This office does not provide travel awards for graduate students.
Application Accordion Closed
- Applications must be submitted a minimum of 30 days before the first day of travel.
- Students are encouraged to apply for an Undergraduate Student Travel Award prior to the “early bird” registration deadline.
- Complete the online application, which includes:
- Statement of benefit to student to attend/present
- Proposed budget
- Website of the conference
- PDF copy of your current unofficial transcript confirming enrollment in the semester when travel will occur and showing a good academic standing
- Once you submit your application, an email request will automatically be sent to your faculty mentor requesting they complete the faculty portion of the request. The student will receive a confirmation email once the faculty mentor has submitted the form. NOTE: It is the student’s responsibility to make sure the faculty sponsor completes the next steps in the process.
- Any student traveling on NAU business must have a completed Annual Travel Certification for the current fiscal year.
- Students planning to drive an NAU vehicle or their personal vehicle must complete NAU’s Authorized Driver training
Funding Accordion Closed
- This application is for funding to be booked in the future and any travel that has already been paid for will not be reimbursed by the Office of Undergraduate Research & Creative Activity.
- After processing, the student and the faculty sponsor will be contacted via email with the award amount.
- Students will be responsible for scheduling an appointment with the Office of Undergraduate Research to book travel.
- The maximum award for individual travel is $300. The maximum for groups of 4 or more traveling to the same event is $1,000. This award is intended for partial funding of travel costs.
- Funds may only be used to cover the following costs:
- Conference registration fees
- Transportation to and from the city of the conference (e.g., airfare, van rental, mileage)
- Lodging
- Meals
- Local transportation costs such as taxis, Ubers, or shuttles
- Funds will not cover:
- Faculty/chaperone expenses
- Graduate student expenses
After travel Accordion Closed
- Within 5 days of your return, complete your Student Travel Report.
- Within 5 days, submit receipts from your travel.
