Degree tracking verification

Due to the need to track degrees for both faculty and staff, NAU HR has worked with IRA and the Office of the Provost to create one place where faculty and staff can enter their degree information and upload transcripts. All faculty and staff have access to add information about the degrees they have earned in PeopleSoft. Degree information that is added must be verified and, if needed, corrected.

  • Administrative faculty who have faculty reporting to them will automatically receive access to add, update, or verify degrees via the system-assigned role NAU_LS HR Chair Degree Verify.
  • For some associate deans and others who do not have direct faculty reports, the role NAU_HR Provost Degree Rvw is available via the ePASS system. This role will grant access to update and verify degrees.

Add, edit, or verify degree information

  • Log into PeopleSoft and navigate to the Degree Information: Compass symbol -> Navigator -> Workforce Administration > Personal Information > Degree Information.
  • Use the search to find any faculty or staff member based on any combination of EmpI ID, Last Name, or First Name.
  • Degree information that has already been entered will be displayed. If there is no degree information, “No matching values were found” will be shown.
  • Select the Degree hyperlink to verify, edit, or view degree information.

  • After selecting the degree, the Degree Details page will pop up.
  • Verify all the information provided is correct.
  • To view transcript attachments, select the View Attachment icon.
  • Depending on your browser and pop-up settings, a message will display asking if you would like to open the file or save it. If pop-ups are blocked, you will need to use the link given in the browser message to view the attachment.
  • Once the degree information has been reviewed and is accurate, select the Degree Verified checkbox and Save Degree.
  • On the landing page the degree will now show as verified.

Note: If the degree cannot be verified and the information should be deleted, contact your FAAR liaison.

  • Click Add a New Value and type in the Empl ID.
  • Alternatively, click Add Degree after searching for someone who already has degrees entered.
  • If Level of Degree or Degree needs to be changed, first select the appropriate Level of Degree, then use the Degree magnifying glass to select the degree. The degree must be selected from the list of allowable values.

Note: If the degree earned is not in the search, contact the provost’s office.

  • Year: Select the year the degree was earned from the drop-down menu.
  • Highest degree earned: Check this box if the degree being entered is the highest degree earned. If there is another degree that is marked as the highest degree earned, the box on that degree will be unchecked automatically.
  • Terminal degree: If a terminal degree was selected for ‘Degree,’ this checkbox will automatically check. When a degree is considered terminal, it means that it is the uppermost degree awarded in a given field.
  • Degree discipline: Enter the degree discipline.
  • Granting institution: Use the search to find the institution where you earned your degree.
  • If the institution is not found in the institution search, select the checkbox for ‘The granting institution for my degree cannot be found.’
  • Other institution: Enter the institution name.
  • City: Enter the city of the granting institution.
  • Country: Enter USA or use the search to find another country.
  • State: With country selected, use the search to find the state.
  • Degree dissertation: Enter dissertation information, if relevant.
  • To attach transcripts to the degree, select the Upload icon.
    • A pop-up will display. Select the Browse button to access your files and select the correct document. The document name will then appear in the field.
    • Select Upload to attach the document.

Note: Only the following file types are permitted: DOC, DOCX, GIF, JPEG, JPG, PDF, TIF, TIFF, XLS, XLSX. The file name cannot be any longer than 60 characters.

Note: If necessary, use the ‘+’ to upload additional files.

  • Once the degree information is complete, select the Save Degree button.

Note: A change in degree information will unverify a verified degree.
