What is SharePoint?

Microsoft SharePoint is a browser-based collaboration and document management platform from Microsoft. It allows groups to set up a centralized, document sharing area.

SharePoint allows for browser based editing and creation of Word, Excel, PowerPoint, and OneNote files.

SharePoint also allows for custom permission management by site, folders, and even file level permissions.

How can I request a SharePoint Site?
To request a SharePoint site, please submit a Service-Now ticket, or contact the ITS Solution Center at 928-523-1511.
What is the storage quota on SharePoint
The initial soft quota on SharePoint is 500MB. This quota can be expanded at any time by submitting a Service-Now ticket, or by contacting the ITS Solution Center at 928-523-1511.

How to Create a Wiki Page Library

Step 1

From the Home page of the site, select the settings Gearwheel.

From the drop-down menu, select “Site contents”.

Step 3

Select "add an app".

Select "Wiki Page Library".

Step 5

Enter the desired name of the Wiki Page Library in the text box. Then, select "Create".

How to Create a Wiki Page

Step 1

From the Home page of the site, select the settings Gearwheel.

From the drop-down menu, select “Site contents”.

Step 3

Next, select the desired library you wish to create the Wiki Page in (For this example we select Site Pages). Wiki Page Libraries are noted as a file with a flower, as shown below.

Step 4

Select "(+) new document".

Step 5

Fill in the text box with the desired name of the Wiki Page. Then, select "Create".

How to Create a Folder

Step 1

From the Home page of the site, select the settings Gearwheel.

From the drop-down menu, select “Site contents”.

Step 3

Next, select the desired library you wish to create a folder in. (For this example we select the Documents folder)

Select "(+) new document".

Select "New folder".

Type the desired name of the new folder in text box. Then, select "Save".

How to Create a Subsite

Step 1

From the Home page of the site, select the settings Gearwheel.

From the drop-down menu, select “Site contents”.

Step 3

Select "(+) new subsite" under the Subsites tab.

Next, specify a Title. Then, specify a Web Site Address. You can also write a brief description of the purpose of the Subsite.

Step 5

Covered in this section is an Advanced option that is not required to be changed when creating a Subsite. To change the template, simply select another option from the list.

 Note: Use the Default option "Team Site", unless specified otherwise.

Select "Use same permissions as parent site", unless you want to specify unique permissions. Then, select "Yes" for the top link bar. Lastly, select "Create".

• Deleting

How to Delete a Folder or Wiki Page

Step 1

From the Home page of the site, select the settings Gearwheel.

From the drop-down menu, select “Site contents”.

Step 3

Select the Open Menu Icon (Three Dots) .

Select the same Open Menu Icon in the new popup window.

Step 5

Select "Delete". Then, a message verifying if you want to delete the Page/Folder will appear, select "Ok".

How to Delete a Library

Step 1

From the Home page of the site, select the settings Gearwheel.

From the drop-down menu, select “Site contents”.

Step 3

Use the mouse to hover over the folder you would like to delete. (For this example we use Site Assets). Then, select the Open Menu Icon (Three Dots).

Select "Remove". Then, a message verifying if you want to remove the Library will appear, select "Ok".

How to Delete a Subsite

Step 1

From the Home page of the site, select the settings Gearwheel.

From the drop-down menu, select “Site contents”.

From the Subsites tab, select the Subsite you wish to delete.

From the Home page of the Subsite, select the settings Gearwheel.

From the drop-down menu, select “Site settings”.

This window has many different possible settings for the Subsite. Select "Delete this site". Then, a message verifying if you want to delete the Subsite will appear, select "Ok".

How to Add a User to a Group

Step 1

From the Home page of the site, select the settings Gearwheel.

From the drop-down menu, select “Site settings”.

Select “Site permissions”. You will then be shown the type of groups that can navigate into your site (ie. Owners, Members, & Visitors).

Step 4

Select the group(s) you would like to invite people to by selecting the blue title of the Group. This will open a new window showing you preexisting members.

Select "New".

This will open a small window prompting you for the invitees Email or Name (If registered on the NAU Domain) and a small message for the purpose of the invite.

Step 7

After filling in the required areas, select "Share". This will send an email invitation to the specified Emails. Note: In this example emails would be sent to the email ucd002@iris.nau.edu and the email registered to the User ITS UC Demo 1.

How to Remove a User from a Group

Step 1

From the Home page of the site, select the settings Gearwheel.

From the drop-down menu, select “Site settings”.

Step 3

Select “Site permissions”. You will then be shown the type of groups that can navigate into your site (ie. Owners, Members, & Visitors).

Select the group(s) you would like to invite people to by selecting the blue title of the Group.

This will open a new window showing you preexisting members. Select the users you would like to remove by filling the dark grey check box with a check mark. People with a check mark will be removed.

Select "Actions".

Select "Remove Users from Group".

How to Add Permissions to a Group

Step 1

From the Home page of the site, select the settings Gearwheel.

Then from the drop-down menu, select “Site settings”.

Select “Site permissions”. You will then be shown the type of groups that can navigate into your site (ie. Owners, Members, & Visitors).

Select the group(s) you would like to grant permissions to by selecting the dark grey box and filling it with a check mark.

Once you have selected the desired group(s) the "Edit User Permissions" will become clickable, select this.

Step 6

This will open a new window that has a check list of the possible permissions. A check in the box signifies the permission will be granted. You may give multiple permission at a single time. Once you have selected the desired permissions, select "Ok".
